As a Cash Office Assistant & Retail Support Specialist, you will be at the heart of our financial operations, responsible for the meticulous reconciliation of daily cash takings from various retail points, preparation of bank deposits, and management of petty cash. Your expertise will be crucial in identifying and resolving discrepancies swiftly, safeguarding company assets, and ensuring strict compliance with internal financial policies and regulatory requirements. Beyond the numbers, you will act as a vital resource for our retail teams, offering timely guidance and support on cash-related procedures, transaction queries, and maintaining an organized and secure cash office environment. This includes handling cash floats, processing refunds and exchanges correctly, and ensuring all documentation is meticulously maintained for audit purposes. Key Responsibilities

  • Perform daily cash reconciliation for all retail transactions, ensuring accuracy and identifying discrepancies promptly.
  • Prepare daily bank deposits accurately and securely, adhering to company procedures.
  • Manage petty cash float, ensuring proper disbursements, record-keeping, and periodic reconciliation.
  • Investigate and resolve cash-related discrepancies, reporting significant variances to management.
  • Provide comprehensive cash handling support and guidance to retail staff, addressing queries and offering training as needed.
  • Maintain the security and integrity of the cash office, including cash, documentation, and equipment.
  • Process cash aspects of refunds, exchanges, and voids in strict accordance with company policy.
  • Assist with month-end and year-end closing procedures related to cash operations.
  • Prepare regular cash flow reports and other financial summaries for management.
  • Ensure compliance with all internal controls, policies, and external regulatory requirements related to cash management.

Required Skills

  • Minimum of 1.5 years (18 months) proven experience in a cash handling or financial administrative role, preferably in a retail environment.
  • Exceptional attention to detail and a high level of accuracy in numerical tasks.
  • Strong proficiency in Microsoft Office Suite, particularly Excel for data entry and reconciliation.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Demonstrated integrity, trustworthiness, and a strong ethical compass.
  • Ability to work efficiently and accurately under pressure in a fast-paced environment.
  • Solid understanding of basic accounting principles and cash management procedures.
  • Problem-solving skills with a proactive approach to identifying and resolving issues.

Preferred Qualifications

  • Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
  • Experience with Point of Sale (POS) systems and financial software.
  • Knowledge of retail operations and customer service best practices.
  • Prior experience specifically within a dedicated cash office environment.
  • Familiarity with Kenyan financial regulations and banking procedures.
