Key Responsibilities

  • Manage and maintain complex calendars, schedule appointments, and coordinate meetings, including room bookings and technology setup.
  • Prepare, edit, and distribute correspondence, presentations, reports, and other documents with high accuracy and professionalism.
  • Act as a primary point of contact for internal and external inquiries, directing calls and visitors appropriately and providing excellent customer service.
  • Organize and maintain physical and electronic filing systems, ensuring efficient retrieval of information and compliance with data management policies.
  • Assist with departmental budgeting, expense reporting, and procurement processes, ensuring adherence to company guidelines.
  • Coordinate travel arrangements and logistics for team members, including booking flights, accommodations, and ground transportation.
  • Support special projects and initiatives, conducting research, compiling data, and preparing summaries as required by management.
  • Handle confidential information with utmost discretion and integrity.

Required Skills

  • Proven experience as an Administrative Assistant or in a similar administrative role.
  • Exceptional organizational and time management skills with the ability to prioritize multiple tasks efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new software.
  • Excellent written and verbal communication skills, with a professional and articulate demeanor.
  • Strong attention to detail and accuracy in all work performed.
  • Ability to work independently and collaboratively within a team environment.
  • Demonstrated ability to handle confidential information with discretion and professionalism.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience working in a healthcare or large organizational setting.
  • Familiarity with project management software or enterprise resource planning (ERP) systems.
  • Experience supporting multiple executives or a large department.
  • Notary Public commission or willingness to obtain one.
