As the Facilities Coordinator, you will be the central point of contact for all facility-related matters, managing everything from routine maintenance to vendor relationships and health and safety compliance. Key Responsibilities

  • Coordinate and oversee daily facility operations, ensuring all systems (HVAC, plumbing, electrical) are functioning optimally.
  • Manage and schedule routine maintenance, repairs, and inspections for the premises and equipment.
  • Act as the primary point of contact for all facility-related issues, liaising with staff and external contractors.
  • Oversee vendor relationships, negotiate contracts, and monitor service level agreements to ensure cost-effectiveness and quality.
  • Ensure strict compliance with all health, safety, and environmental regulations and company policies.
  • Assist with space planning, office reconfigurations, and moves, coordinating logistics with minimal disruption.
  • Manage the facilities budget, track expenses, and identify opportunities for cost savings and efficiency improvements.
  • Maintain accurate records of maintenance activities, service contracts, and facility-related documentation.
  • Support the procurement of office supplies, furniture, and equipment as needed.

Required Skills

  • Proven experience (minimum 3 years) in a Facilities Coordinator or similar role.
  • Excellent organisational and time management skills with the ability to multitask effectively.
  • Strong communication and interpersonal abilities, capable of engaging with all levels of staff and external partners.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Solid understanding of health and safety regulations pertinent to office environments.
  • Fluent spoken and written English, as specified by the role title.

Preferred Qualifications

  • A recognised qualification in Facilities Management (e.g., IWFM Level 3 or equivalent).
  • Experience with Computer-Aided Facilities Management (CAFM) systems.
  • Demonstrable experience in managing budgets and negotiating with vendors.
  • Full UK driving license.
