Job Description

Key Responsibilities

  • Manage complex calendars and schedule appointments, meetings, and conferences for executives.
  • Organize and coordinate domestic and international travel arrangements, including itineraries, accommodation, and logistics.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and managing communications with discretion.
  • Assist with the preparation of meeting agendas, attend meetings to take minutes, and follow up on action items.
  • Handle confidential information and documents with utmost integrity and professionalism.
  • Process expense reports, manage invoices, and assist with budget tracking for the executive office.
  • Proactively anticipate executive needs and provide comprehensive support to facilitate their effectiveness and productivity.

Required Skills

  • Proven experience (minimum 4 years) supporting C-level executives or senior management.
  • Exceptional organizational and time management skills with the ability to prioritize and multitask effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools.
  • Superior written and verbal communication skills in English and Portuguese.
  • High level of discretion, professionalism, and integrity.
  • Proactive problem-solver with strong attention to detail and a commitment to accuracy.
  • Ability to work independently and collaboratively in a fast-paced, high-pressure environment.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience with project management software and enterprise resource planning (ERP) systems.
  • Knowledge of the financial services industry and corporate governance principles.
  • Fluency in an additional local language (e.g., Changana, Sena).
