Bamburi Cement Ltd. is seeking a dedicated Procurement Assistant to join our dynamic Supply Chain team in Nairobi. As a Procurement Assistant, you will play a crucial role in supporting the entire procurement cycle, from vendor selection and purchase order creation to delivery tracking and invoice reconciliation. You will work closely with various departments, including production, logistics, and finance, to anticipate needs, manage supplier relationships, and ensure compliance with internal policies and external regulations. Your ability to maintain accurate records, communicate effectively, and proactively solve problems will be key to your success. Key Responsibilities
- Process purchase requisitions and convert them into accurate purchase orders (POs) in the ERP system, ensuring adherence to company policies and procedures.
- Assist in the identification, evaluation, and selection of new vendors, conducting preliminary market research and supplier vetting.
- Communicate with suppliers regarding order status, delivery schedules, specifications, and any discrepancies or issues.
- Maintain up-to-date procurement records, including vendor databases, contracts, purchase orders, and delivery documentation.
- Collaborate with the logistics team to track inbound shipments and ensure timely delivery of materials to the various operational sites.
- Support the Procurement Officer/Manager in negotiating terms with suppliers to achieve favorable pricing and service agreements.
- Assist in inventory management by monitoring stock levels and generating reports to prevent shortages or overstocking.
- Reconcile invoices against purchase orders and goods received notes (GRNs) to facilitate timely and accurate payments.
- Prepare various procurement reports, including spend analysis, supplier performance, and cost savings initiatives.
- Ensure all procurement activities comply with internal control guidelines, ethical standards, and relevant legal requirements.
Required Skills
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Basic understanding of procurement processes, supply chain management, and inventory control.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a dynamic environment.
- Strong analytical and problem-solving abilities.
- High level of integrity and ethical conduct.
Preferred Qualifications
- Diploma or Bachelor’s degree in Supply Chain Management, Procurement, Business Administration, or a related field.
- Certification in Procurement and Supply (e.g., CIPS Level 2 or 3).
- Experience with an Enterprise Resource Planning (ERP) system, such as SAP.
- Previous experience in the manufacturing or heavy industry sector.
