Job Description

Career.zycto is seeking a dedicated NGO Project Assistant to join our team in Kilimani, Nairobi, with a primary focus on field-based activities. This crucial role involves providing comprehensive support to our project managers, ensuring the smooth execution of community-level interventions, and acting as a vital link between our office and the communities we serve. Key Responsibilities
- Assist Project Managers in the planning, implementation, and monitoring of project activities in the field.
- Coordinate logistical arrangements for field visits, community meetings, workshops, and other project events.
- Conduct regular field visits to project sites, ensuring adherence to project plans and collecting relevant data.
- Facilitate community engagement and mobilization, ensuring active participation of beneficiaries in project activities.
- Support data collection processes, including surveys, focus group discussions, and key informant interviews, ensuring data accuracy and integrity.
- Assist in the preparation of routine project reports, activity plans, and expenditure tracking.
- Maintain accurate project documentation, including field reports, attendance sheets, and photographic evidence.
- Act as a liaison between the project office, community leaders, local authorities, and project beneficiaries.
- Identify and report any challenges, risks, or opportunities observed in the field to the Project Manager.
- Support procurement processes for field-based activities in line with organizational policies.
Required Skills
- Excellent written and verbal communication skills in English and Swahili.
- Proven experience in project coordination or administrative support, preferably within an NGO setting.
- Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to work effectively with diverse communities and stakeholders.
- Basic knowledge of monitoring, evaluation, and learning (MEL) principles.
- Problem-solving aptitude and ability to work independently with minimal supervision.
- Valid driving license with experience driving in rural and urban settings.
Preferred Qualifications
- Bachelor’s degree in Social Sciences, Development Studies, Project Management, or a related field.
- At least 1-2 years of proven experience in field-based project support for an NGO.
- Experience with data collection tools and software (e.g., KoboToolbox, ODK).
- Familiarity with the socio-economic context and cultural nuances of communities in Nairobi and surrounding regions.
- Additional local language proficiency (e.g., Kikuyu, Luhya, Luo).
