Key Responsibilities

  • Process purchase requisitions and convert them into purchase orders efficiently and accurately.
  • Liaise with suppliers to ensure timely delivery of goods, track orders, and resolve any supply or delivery issues.
  • Maintain accurate records of purchases, pricing agreements, supplier information, and inventory levels.
  • Conduct market research to identify potential suppliers, compare costs, quality, and delivery terms.
  • Assist in negotiating terms with vendors to achieve favorable pricing, payment terms, and product quality.
  • Monitor stock levels, identify purchasing needs based on sales data, inventory reports, and operational forecasts.
  • Perform regular inventory audits, conduct stock counts, and reconcile any discrepancies.
  • Prepare and process invoices, ensuring accuracy and adherence to financial procedures and timelines.
  • Collaborate with the store operations team to optimize stock placement, manage returns, and minimize waste.
  • Support the implementation of new procurement strategies, systems, and process improvements.
  • Generate reports on purchasing activities, supplier performance, and inventory turnover.

Required Skills

  • Minimum of 1 year of proven experience in procurement, supply chain, or a related administrative role.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) with strong data entry skills.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in all tasks.
  • Effective written and verbal communication and interpersonal skills.
  • Ability to work independently with minimal supervision and collaboratively as part of a team.
  • Basic understanding of purchasing principles, inventory control, and supply chain processes.
  • Problem-solving aptitude and a proactive approach to challenges.

Preferred Qualifications

  • Diploma or Degree in Procurement, Supply Chain Management, Business Administration, or a related field.
  • Experience with ERP or dedicated procurement software (e.g., SAP, Oracle, Sage, Zoho Inventory).
  • Proven negotiation skills and experience in vendor management.
  • Previous experience specifically within a retail or store operations environment.
  • Knowledge of local Nairobi supplier market and regulations.
  • Understanding of basic accounting principles related to procurement.
