As a Photo Shoot Coordinator, you will play a crucial role in managing the intricate logistics that go into producing high-quality imagery for our diverse clientele. You’ll be the go-to person for all aspects of shoot coordination, working closely with photographers, stylists, models, makeup artists, and clients to ensure everyone is aligned and equipped for success.
Your day-to-day could involve scouting unique locations across Birmingham and beyond, negotiating with vendors for props and equipment, managing budgets to ensure cost-effectiveness, and crafting detailed call sheets that leave no stone unturned. You will be responsible for obtaining necessary permits, arranging catering, and overseeing on-set logistics, ensuring a smooth and professional environment. Post-shoot, you’ll coordinate image selection, retouching workflows, and final asset delivery, always maintaining our commitment to excellence and client satisfaction.

Key Responsibilities
- Coordinate all logistical aspects of photo shoots, including scheduling, location scouting, and talent booking.
- Manage budgets, negotiate vendor contracts, and ensure cost-effective resource allocation.
- Develop detailed call sheets and production schedules, distributing them to all relevant parties.
- Source and procure props, equipment, and styling elements as required by creative briefs.
- Oversee on-set operations, ensuring smooth execution, adherence to timelines, and problem-solving any issues that arise.
- Liaise effectively with photographers, stylists, models, makeup artists, and clients to ensure clear communication and alignment.
- Manage post-production workflows, including image selection, retouching, and final asset delivery.
- Obtain necessary permits and permissions for shoot locations.
- Maintain accurate records of all shoot-related expenses and documentation.
Required Skills
- Proven experience in project coordination, preferably within a creative or photographic environment.
- Exceptional organisational and time management skills with meticulous attention to detail.
- Strong communication and interpersonal skills, capable of liaising with diverse stakeholders.
- Proficiency in project management software and Microsoft Office Suite (Word, Excel, Outlook).
