Career.zycto is seeking a highly organized, proactive, and tech-savvy Virtual Office Manager – Remote Admin to join our growing team. This is a crucial full-time remote role designed for an individual who excels at bringing order, efficiency, and seamless support to a virtual work environment. You will be instrumental in ensuring the smooth daily operations of our remote administrative functions, managing workflows, coordinating communications, and supporting our diverse team from your home office in Greater Sudbury, Ontario.

As our Virtual Office Manager, you will be the backbone of our administrative structure, responsible for managing virtual office systems, optimizing processes, and providing comprehensive support to senior management and various departments. Key Responsibilities

  • Manage and maintain virtual office systems, including cloud-based document management, communication platforms, and project management tools.
  • Coordinate schedules, organize virtual meetings, prepare agendas, and distribute minutes for various team and client engagements.
  • Act as the primary point of contact for internal and external inquiries, directing them appropriately and professionally.

  • Provide comprehensive administrative support to senior leadership, including travel arrangements (virtual, if applicable) and expense reporting.
  • Onboard new remote team members, ensuring they have access to necessary tools, resources, and administrative guidelines.
  • Troubleshoot minor technical issues related to virtual office tools and liaise with IT support for more complex problems.

Required Skills

  • Proven experience as an Office Manager, Administrative Assistant, or similar role in a remote or virtual setting.
  • Exceptional proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) and Microsoft Office Suite.
  • Strong command of virtual communication tools (e.g., Zoom, Microsoft Teams, Slack).
