Key Responsibilities

  • Manage executive calendars, scheduling appointments and meetings efficiently.
  • Coordinate and arrange complex travel itineraries (flights, accommodation, ground transportation).
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain filing systems, both physical and electronic, ensuring confidentiality.
  • Handle incoming calls and emails, filtering and responding as appropriate.
  • Process expenses and manage basic financial record-keeping.
  • Anticipate executive needs and proactively address them to ensure seamless operations.
  • Support with project coordination and follow-up on action items.
  • Maintain office supplies inventory and place orders when necessary.
  • Liaise with internal teams and external stakeholders professionally.

Required Skills

  • Proven experience as a Personal Assistant or Administrative Assistant to senior management.
  • Exceptional organizational and time management skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English.
  • High level of discretion and ability to handle confidential information.
  • Proactive problem-solving abilities and a strong attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • Diploma or Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
