Job Description

Root Insurance is seeking a dedicated Virtual Executive Assistant to provide comprehensive, high-level administrative and operational support to our senior leadership team. This critical role requires an individual who thrives in a fast-paced, remote environment, possesses impeccable communication skills, and can anticipate needs before they arise. As a Virtual Executive Assistant, you will be an integral part of ensuring our executives operate efficiently and effectively, allowing them to focus on strategic initiatives that drive our company forward.

You will be instrumental in maintaining the rhythm of our executives’ schedules, facilitating seamless communication, and handling sensitive information with the utmost discretion. Your role extends beyond traditional administrative duties; you’ll be a trusted partner, coordinating complex projects, preparing critical documents, and acting as a central point of contact for internal and external stakeholders. Key Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and virtual events across multiple time zones.
 - Coordinate and arrange domestic and international travel logistics, including flights, accommodation, and ground transportation, as needed.
 - Prepare and submit expense reports accurately and on time, ensuring compliance with company policies.
 - Act as a primary point of contact, screening and prioritizing incoming communications (emails, calls), and responding professionally on behalf of executives when appropriate.
 - Draft, proofread, and format various documents, presentations, and correspondence with precision and a high level of confidentiality.
 - Organize and facilitate virtual meetings, including preparing agendas, distributing materials, taking minutes, and tracking action items.
 - Conduct research, compile data, and prepare reports or summaries as requested by the executive team.
 - Assist with special projects and initiatives, demonstrating strong organizational and problem-solving skills.
 - Maintain organized digital filing systems and ensure the easy retrieval of critical information.
 - Proactively identify opportunities to optimize executive workflows and administrative processes within a remote work framework.
 
Required Skills
- 5+ years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role supporting C-level executives or senior leadership.
 - Exceptional organizational skills and meticulous attention to detail.
 - Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
 - Excellent written and verbal communication skills, with the ability to articulate clearly and concisely.
 - Proven ability to manage multiple priorities, meet deadlines, and adapt to changing demands in a fast-paced environment.
 - Strong sense of discretion and ability to handle confidential information with integrity.
 - High level of professionalism and a proactive, 'can-do' attitude.
 - Technologically savvy with the ability to quickly learn new software and tools for remote collaboration.
 - Reliable high-speed internet connection and a dedicated home office setup suitable for remote work.
