Key Responsibilities

  • Greet and register patients warmly, ensuring a positive first impression and efficient check-in/check-out processes.
  • Schedule and confirm appointments, manage practitioner calendars, and coordinate referrals to specialists.
  • Maintain and update electronic medical records (EMR) with accuracy and strict adherence to confidentiality protocols.
  • Process patient billing, collect payments, and submit insurance claims efficiently.
  • Answer incoming calls, triage patient inquiries, and direct calls to appropriate medical staff.
  • Manage incoming and outgoing correspondence, including faxes, emails, and postal mail.
  • Maintain an organized and tidy reception area and office space, ensuring adequate supplies are on hand.
  • Assist with preparing examination rooms and sterilizing equipment as needed, following clinic protocols.
  • Provide administrative support to physicians and other healthcare professionals.
  • Educate patients on clinic policies, procedures, and relevant healthcare information.
  • Handle sensitive information with the utmost discretion and professionalism.

Required Skills

  • Proven experience in an administrative or customer service role, preferably in a medical or healthcare setting.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Proficiency with Electronic Medical Records (EMR) systems and general office software (MS Office Suite).
  • Strong organizational abilities with meticulous attention to detail.
  • Demonstrated ability to multitask, prioritize, and manage time effectively in a dynamic environment.
  • Thorough knowledge of medical terminology and office procedures.
  • A compassionate and patient-focused approach to service delivery.
  • Ability to maintain strict confidentiality regarding patient information.

Preferred Qualifications

  • Completion of a Medical Office Assistant diploma or certificate program.
  • Experience with Accuro EMR system.
  • Current First Aid and CPR certification.
  • Bilingualism (English/French) would be considered an asset.
  • Familiarity with Saskatchewan health regulations and billing practices.
