Job Description

Blackwood Homes and Care is seeking a dedicated Remote Office Administrator to join our dynamic team. In this pivotal full-time role, you will provide comprehensive administrative support to various departments, ensuring the smooth and efficient operation of our remote working environment. Key Responsibilities
- Manage and organise digital files, documents, and records, ensuring easy accessibility and compliance with data protection policies and internal guidelines.
- Schedule and coordinate virtual meetings, appointments, and conferences, including sending invitations, managing RSVPs, preparing agendas, and taking accurate minutes.
- Handle incoming communications, including emails and phone calls, directing inquiries to the appropriate departments or individuals in a timely and professional manner.
- Prepare, edit, and proofread various documents, reports, presentations, and correspondence with impeccable grammar and high accuracy.
- Assist with data entry and maintenance of databases and CRM systems, ensuring data integrity and currency.
- Provide administrative support for ongoing projects, including tracking progress, collating information, and preparing regular updates for stakeholders.
- Order and manage office supplies for remote teams as needed, adhering to company budget guidelines and procurement procedures.
- Support HR and Finance departments with basic administrative tasks, such as processing expenses, managing new starter documentation, or updating records.
- Act as a virtual liaison for internal and external stakeholders, maintaining professional and positive relationships at all times.
- Proactively identify and implement administrative efficiencies and process improvements to enhance remote team productivity and operational effectiveness.
Required Skills
- Proven experience (minimum 3 years) as an Office Administrator, Administrative Assistant, or similar role in a fast-paced environment.
- Exceptional organisational and time management skills with the ability to prioritise tasks effectively and manage deadlines in a remote setting.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace applications.
- Excellent written and verbal communication skills, with a professional, articulate, and empathetic demeanour.
- Strong attention to detail and accuracy in all administrative tasks, from data entry to document preparation.
- Ability to work independently with minimal supervision, demonstrating initiative, self-motivation, and strong problem-solving capabilities.

- Reliable high-speed internet connection and a dedicated, quiet, and comfortable home office setup conducive to productive work.
Preferred Qualifications
- Previous experience working specifically in a remote or hybrid administrative capacity.
