Key Responsibilities

  • Provide comprehensive administrative support to program managers and staff, including scheduling meetings, managing correspondence, and preparing documents.
  • Assist with the coordination and logistical planning of program activities, workshops, and events.
  • Maintain accurate and up-to-date program records, databases, and filing systems, ensuring data integrity and compliance.
  • Process invoices, expense claims, and other financial documentation in coordination with the finance team.
  • Support the preparation of program reports, presentations, and grant applications by gathering and compiling relevant information.
  • Coordinate volunteer schedules and assist with volunteer onboarding and engagement activities.
  • Handle incoming inquiries from program participants and community partners, providing timely and accurate information or directing them to appropriate resources.
  • Assist in the procurement of program materials and supplies, managing inventory and reordering as needed.
  • Contribute to the continuous improvement of operational processes and procedures to enhance efficiency.
  • Liaise with external vendors and service providers as required for program delivery.

Required Skills

  • Minimum 1-2 years of experience in an administrative or operational support role, preferably within a nonprofit or community-focused organisation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Excellent organisational and time management skills with the ability to prioritise tasks and meet deadlines.
  • Strong attention to detail and accuracy in record-keeping and data entry.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to work effectively both independently and as part of a team.
  • A genuine passion for community development and the mission of nonprofit organisations.

Preferred Qualifications

  • Tertiary qualification in Business Administration, Community Development, Social Sciences, or a related field.
  • Experience with CRM software or database management systems.
  • Familiarity with grant reporting and compliance requirements in the nonprofit sector.
  • Understanding of the Bundaberg community and local services.
