Job Description
As a Remote Document Control Officer at Kier Group, you will play a crucial role in managing and maintaining the integrity of our project documentation across various critical infrastructure and construction projects. This fully remote position offers the flexibility of working from your home base while being an integral part of our dynamic teams. You will be responsible for ensuring that all project-related documents—from technical drawings and specifications to reports and correspondence—are accurately recorded, stored, retrieved, and distributed according to established protocols and company standards. Key Responsibilities
- Manage and maintain comprehensive document control systems and databases (e.g., SharePoint, Aconex, Viewpoint for Projects).
- Receive, log, distribute, and track all incoming and outgoing project documentation, ensuring proper version control and metadata accuracy.
- Ensure all documents comply with company standards, project specifications, and regulatory requirements, including audit readiness.
- Liaise with project teams, engineers, contractors, and clients to facilitate efficient document flow, resolve queries, and provide status updates.
- Prepare document transmittals, reports, and comprehensive audit trails as required for project milestones and regulatory submissions.
- Archive obsolete documents and prepare active documents for project close-out, strictly adhering to retention policies and legal requirements.
- Provide training and ongoing support to project staff on document control procedures, system usage, and best practices.
- Perform regular quality checks on documentation to ensure accuracy, completeness, and adherence to naming conventions and indexing.
- Proactively identify and implement improvements to document control processes to enhance efficiency and compliance.
Required Skills
- Proven experience (minimum 3 years) in document control, preferably within construction, engineering, or a related highly regulated industry.
- Proficiency with Electronic Document Management Systems (EDMS) and common data environments.
- Strong understanding of document control principles, methodologies, and best practices.
- Exceptional organizational skills and meticulous attention to detail.
- Excellent written and verbal communication abilities for effective stakeholder engagement.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
- Ability to work independently, prioritize tasks, and manage multiple projects in a remote setting.
- High level of integrity and ability to handle confidential and sensitive information securely.
- Strong problem-solving skills and a proactive approach to process improvement.
Preferred Qualifications
- Relevant vocational qualification or certification in Information Management, Document Control, or a related field.
- Experience with specific construction EDMS platforms (e.g., Aconex, Viewpoint, Asite, ProjectWise).
- Familiarity with ISO 9001 (Quality Management) standards and their application in document control.
- Previous experience working effectively in a fully remote or hybrid role, demonstrating self-motivation and discipline.
- Knowledge of common construction project phases and their associated documentation requirements.
- Experience in training and onboarding team members on document management systems and protocols.
