Key Responsibilities
- Consult with clients to understand their event objectives, preferences, budget, and vision for both wedding and corporate events.
- Develop comprehensive event proposals, including theme, venue selection, vendor recommendations, timelines, and detailed budgets.
- Source, negotiate, and manage contracts with vendors such as caterers, decorators, photographers, entertainment, and technical support.
- Create and manage detailed event timelines, checklists, and floor plans to ensure all elements are aligned for successful execution.
- Oversee all logistical aspects leading up to and during the event, including setup, teardown, and on-site coordination.
- Manage event budgets meticulously, tracking expenses and ensuring cost-effectiveness without compromising quality.
- Proactively identify and resolve potential issues or challenges before and during events.
- Maintain clear and consistent communication with clients, providing regular updates and managing expectations.
- Conduct post-event evaluations, gathering feedback and preparing reports on event success and areas for improvement.
Required Skills
- Minimum of 3 years of professional experience in event planning, with a strong portfolio showcasing both wedding and corporate events.
- Exceptional organizational and time management skills, with the ability to manage multiple projects concurrently.
- Proven ability to manage budgets, negotiate contracts, and secure favorable terms with vendors.
- Strong creative vision and an eye for aesthetics and detail.
- Excellent communication, interpersonal, and client relationship management skills.
- Proficiency in event management software and tools.
- Ability to work independently, demonstrate initiative, and problem-solve effectively under pressure.
- Familiarity with local venues and suppliers in Montego Bay and surrounding areas.
Preferred Qualifications
- Bachelor’s degree in Hospitality Management, Event Management, Marketing, or a related field.
- Professional certification such as Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP).
- Established network of high-quality vendors and industry contacts in Jamaica.
- Experience with destination event planning.
