Career.zycto is seeking an exceptional and highly motivated Reception Supervisor to lead our front desk operations in Ramotswa, South-East District. This professional role is pivotal in creating an outstanding first impression for all visitors, clients, and internal staff. As the Front Desk Lead, you will be the cornerstone of our administrative efficiency and hospitality, ensuring a seamless and welcoming experience. You will be responsible for overseeing a team of receptionists, managing daily front desk activities, and upholding the highest standards of service and professionalism. Key Responsibilities

  • Supervise, train, and mentor a team of front desk receptionists, fostering a positive and productive work environment.
  • Manage daily front desk operations, including visitor registration, call handling, mail distribution, and appointment scheduling.
  • Ensure the reception area is always impeccably maintained, professional, and welcoming.
  • Develop and implement efficient front desk procedures and protocols to enhance service delivery.
  • Address and resolve visitor and client inquiries or complaints promptly and professionally.
  • Coordinate with various departments to facilitate smooth communication and operational flow.
  • Manage office supplies inventory for the front desk and related areas.
  • Prepare regular reports on front desk activities, visitor traffic, and operational metrics.
  • Assist in event coordination and meeting room management.
  • Uphold strict confidentiality and data protection standards.

Required Skills

  • Proven experience in a supervisory or leadership role within a front office or hospitality setting.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficiency in office management software (e.g., MS Office Suite, calendaring systems).
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Demonstrated ability to manage and motivate a team effectively.
  • Problem-solving skills and a calm demeanor under pressure.
  • Fluent in English and Setswana.

Preferred Qualifications

  • Associate's or Bachelor's degree in Hospitality Management, Business Administration, or a related field.
  • Experience with integrated visitor management systems.
  • Knowledge of local customs and etiquette in Botswana.
  • First Aid and CPR certification.
