Job Description

As an Admin Officer, your day will be diverse and challenging, encompassing a wide array of administrative and clerical duties. You will be responsible for managing office logistics, from maintaining accurate records and handling correspondence to coordinating meetings and managing supplies. This role requires a professional who can anticipate needs, demonstrate exceptional communication skills, and maintain a high level of discretion. You will be the first point of contact for many visitors and callers, making your professionalism and positive attitude essential in representing Equity Bank’s values. Key Responsibilities
- Manage office supplies inventory, place orders, and ensure stock levels are adequate.
- Handle incoming and outgoing correspondence, including emails, letters, and packages, ensuring timely distribution and dispatch.
- Organize and schedule meetings, appointments, and travel arrangements for staff and management.
- Maintain accurate and up-to-date filing systems, both digital and physical, ensuring data integrity and easy retrieval.
- Assist in the preparation of reports, presentations, memos, and other official documents.
- Provide professional front-desk support, greeting visitors, answering phone calls, and directing inquiries appropriately.
- Support the Human Resources department with various administrative tasks, including onboarding new employees and maintaining personnel records.
- Ensure all office equipment (printers, copiers, scanners) is in working order and coordinate maintenance or repairs as needed.
- Assist with data entry, database management, and record-keeping for various departmental functions.
- Facilitate internal communication and information flow within the branch and with other departments.
- Maintain a clean, organized, and welcoming office environment.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills in English and Swahili
- Strong organizational and time management abilities, with meticulous attention to detail
- Proven problem-solving skills and ability to work under pressure
- Ability to work independently and collaboratively as part of a team
- High level of discretion and ability to maintain confidentiality
- At least 2 years of proven experience in an administrative support role
Preferred Qualifications
- Bachelor's degree or Diploma in Business Administration, Office Management, or a related field
- Experience with specific office management software or CRM systems
- Previous experience in the financial services sector
