Job Description

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our team at our Embakasi, Nairobi office. This critical role involves providing comprehensive administrative and secretarial support to ensure the smooth and efficient operation of our office environment. The ideal candidate will be the backbone of our administrative functions, managing day-to-day tasks with precision and a positive attitude. You will be responsible for a variety of tasks ranging from scheduling and correspondence to record keeping and office supply management. This position requires someone who can multitask effectively, prioritize workloads, and maintain a high level of professionalism in all interactions. Key Responsibilities

  • Manage and maintain executive schedules, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and coordinate meetings, conferences, and special events, including taking minutes.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Maintain an efficient filing system, both physical and electronic, ensuring data integrity and easy retrieval.
  • Oversee office supply inventory, placing orders, and ensuring stock levels are adequate.
  • Assist in the preparation of reports, financial statements, and presentations as required.
  • Provide general administrative support to various departments as needed.
  • Act as a liaison between different departments and external parties.
  • Handle confidential information with discretion and professionalism.

  • Ability to communicate in Kiswahili and English fluently
