Key Responsibilities

  • Serve as the primary point of contact for all visitors, parents, and pupils, managing enquiries both in person, via phone, and through email.
  • Manage and maintain accurate pupil records, attendance registers, and school databases (e.g., SIMS), ensuring strict compliance with GDPR regulations.
  • Provide comprehensive administrative support to the Headteacher and teaching staff, including typing letters, reports, newsletters, and other essential documents.
  • Coordinate and schedule meetings, appointments, and school events, including parent evenings, school trips, and extracurricular activities.
  • Handle all incoming and outgoing correspondence, including post, emails, and internal communications, ensuring timely and professional responses.
  • Manage school finances for small purchases, petty cash, and trip payments, reconciling accounts and assisting with budget tracking as required.
  • Oversee the school's communication channels, including updating the school website, social media, and parent communication apps with relevant information.
  • Assist with the induction of new staff and pupils, ensuring all necessary paperwork, checks, and welcome procedures are completed efficiently.
  • Maintain a tidy, organised, and professional school office environment, managing stationery and office supplies inventory effectively.
  • Uphold safeguarding policies and procedures rigorously, ensuring the well-being and safety of all pupils and staff at all times.

Required Skills

  • Proven experience of at least two years in an administrative or secretarial role, with a strong preference for experience within a school setting.
  • Exceptional organisational, multitasking, and time management skills, with the ability to prioritise tasks effectively under pressure.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with database management systems.
  • Excellent written and verbal communication skills, demonstrating a professional, friendly, and empathetic telephone manner.
  • A strong understanding and practical application of data protection and confidentiality protocols (GDPR).
  • Ability to work both independently with minimal supervision and collaboratively as part of a dedicated team in a busy, fast-paced environment.
  • An Enhanced DBS check (or a willingness to obtain one promptly upon offer of employment) is mandatory for this role.

Preferred Qualifications

  • Direct experience with school management systems such as SIMS (School Information Management System) or similar platforms.
  • A valid First Aid qualification, or willingness to undertake training.
  • In-depth knowledge of safeguarding procedures and child protection policies within an educational context.
