Key Responsibilities

  • Manage and maintain office systems, including data management, physical and digital filing, and comprehensive record-keeping.
  • Coordinate the procurement and maintenance of office supplies, equipment, and services, ensuring optimal stock levels and functionality.
  • Serve as the primary point of contact for internal and external stakeholders, handling inquiries professionally and directing them appropriately.
  • Assist with scheduling appointments, coordinating meetings, and making travel arrangements for staff as required.
  • Prepare, edit, and proofread correspondence, reports, presentations, and other critical documents with accuracy and attention to detail.
  • Oversee petty cash management and conduct basic financial record-keeping for office expenditures, ensuring compliance with company policies.
  • Ensure strict compliance with company policies and procedures related to office administration, health, and safety regulations.
  • Provide comprehensive administrative support to the operational team, facilitating project execution and daily operational efficiency.

Required Skills

  • Minimum of 4 years of progressive experience in an administrative or office management role.
  • Exceptional organizational and time management skills with the proven ability to prioritize tasks and manage multiple projects simultaneously.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong written and verbal communication skills in English, with excellent interpersonal abilities.
  • High level of attention to detail and accuracy in all administrative tasks and record-keeping.
  • Ability to work independently with minimal supervision and collaboratively as an integral part of a team.
  • Demonstrated problem-solving capabilities, initiative, and a proactive approach to office challenges.

Preferred Qualifications

  • Associate's Degree or Diploma in Business Administration, Office Management, or a related field.
  • Experience working within the utilities, infrastructure, or a related service industry.
  • Familiarity with basic accounting software or enterprise resource planning (ERP) systems.
