Job Description

Career.zycto is seeking a highly organised and detail-oriented A&R Administrator to join our vibrant team in Frimley, Camberley. This pivotal role supports our Artists and Repertoire (A&R) department, ensuring the smooth and efficient management of artist projects, contracts, and administrative processes. You will be instrumental in the day-to-day operations of our A&R team, providing critical support that enables our executives to focus on talent discovery and development.

The A&R Administrator will serve as a central point of contact for internal teams and external stakeholders, including artists, managers, and legal counsel. Your responsibilities will span across various crucial areas, from managing agreements and tracking budgets to coordinating meetings and maintaining our artist database. We are looking for someone with a genuine passion for music, a strong understanding of the entertainment industry’s administrative demands, and an impeccable ability to manage multiple priorities in a fast-paced creative environment. Key Responsibilities

  • Manage and track artist contracts, recording agreements, and associated legal documentation, ensuring accuracy and adherence to deadlines.
  • Liaise with legal, finance, and other departments to facilitate contract execution, payment processing, and budget reconciliation.
  • Maintain and update the A&R department's artist database, project trackers, and confidential files with precision.
  • Coordinate meetings, travel arrangements, and schedules for A&R executives and artists, managing complex calendars effectively.
  • Prepare presentations, reports, and internal communications, often requiring data compilation and analysis.
  • Handle incoming inquiries, correspondence, and phone calls, directing them appropriately and maintaining professional communication.
  • Assist with the onboarding process for new artists, ensuring all administrative requirements are met.
  • Process invoices, expenses, and budget requests, ensuring compliance with company financial policies.
  • Support the A&R team with ad-hoc administrative tasks and special projects as required, demonstrating flexibility and initiative.
  • Ensure all departmental activities comply with company policies, industry regulations, and legal guidelines.

Required Skills

  • Proven administrative experience, preferably within the music or entertainment industry.
  • Exceptional organisational skills and meticulous attention to detail.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks, prioritise effectively, and work under pressure to meet tight deadlines.
  • A proactive attitude with the ability to anticipate needs and work independently.
  • Discretion and experience handling confidential information.
  • A genuine interest in and knowledge of the music industry landscape.

Preferred Qualifications

  • A Bachelor's degree in Music Business, Arts Administration, or a related field.
  • Experience with database management systems or CRM software.
  • Familiarity with contract terminology and legal processes in the music industry.
  • Previous experience supporting a busy executive or team in a creative field.
