Job Description

Career.zycto is seeking a highly organized and enthusiastic A&R Administrator to join our dynamic team in Glasgow. This pivotal full-time role offers an exciting opportunity to be at the heart of the music industry, providing essential administrative and operational support to our Artists & Repertoire (A&R) department. As an A&R Administrator, you will be instrumental in ensuring the smooth day-to-day functioning of A&R operations, contributing directly to the discovery, development, and management of talent. You will work closely with A&R executives, artists, and various internal departments, managing a diverse range of tasks from scheduling and data management to coordinating travel and assisting with contractual processes. This position demands exceptional attention to detail, proactive problem-solving skills, and a genuine passion for music and the entertainment landscape. Key Responsibilities

  • Provide comprehensive administrative support to the A&R team, including managing calendars, scheduling meetings, and coordinating appointments.
  • Organize and maintain artist databases, project files, demo submissions, and other critical documentation with meticulous accuracy.
  • Assist with the preparation, review, and tracking of artist contracts, agreements, and legal documentation in liaison with legal teams.
  • Coordinate national and international travel arrangements, accommodation, and itineraries for A&R executives and artists.
  • Process expense reports, invoices, and manage departmental budgets, ensuring compliance with company policies.
  • Serve as a primary point of contact, liaising effectively with artists, artist management, producers, internal departments, and external partners.
  • Support new artist onboarding processes, including setting up internal systems and coordinating introductory meetings.
  • Prepare presentations, reports, and meeting agendas for A&R strategy sessions and artist showcases.
  • Handle confidential information with the utmost discretion and professionalism.
  • Assist with event planning and logistical support for artist performances, recording sessions, and promotional activities.

Required Skills

  • Minimum of 2 years of proven administrative experience, preferably within the music, entertainment, or creative industries.
  • Exceptional organizational and time management skills with the ability to prioritize effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with database management.
  • Strong written and verbal communication skills, with a professional and engaging demeanor.
  • High level of attention to detail and accuracy in all tasks.
  • Demonstrated ability to maintain confidentiality and handle sensitive information discreetly.
  • A genuine passion for music and a foundational understanding of the current music industry landscape.
  • Proactive problem-solver with a strong work ethic and the ability to work independently as well as part of a team.

Preferred Qualifications

  • Bachelor's degree in Music Business, Arts Administration, Business Administration, or a related field.
  • Previous experience working directly within an A&R department or for a record label, music publisher, or talent management company.
  • Familiarity with music industry terminology, trends, and key players.
  • Experience with project management software (e.g., Asana, Trello) or CRM systems.
