Key Responsibilities
- Manage and coordinate complex scheduling for candidate interviews (both virtual and in-person), client meetings, and internal team engagements.
- Act as the primary point of contact for all scheduling inquiries, providing timely and professional communication to candidates, clients, and internal staff.
- Send out calendar invitations, confirmations, and reminders, ensuring all necessary details (e.g., interview format, location, attendees, necessary documents) are clearly communicated.
- Proactively identify and resolve scheduling conflicts, demonstrating problem-solving skills and a solutions-oriented approach.
- Maintain accurate and up-to-date records of all bookings and appointments in our Applicant Tracking System (ATS) and CRM.
- Prepare and distribute necessary documentation and materials for interviews and meetings.
- Assist with general administrative tasks to support the recruitment team as required, including data entry and report generation.
- Gather feedback post-interviews and meetings, relaying relevant information to the appropriate consultants.
- Ensure a positive candidate and client experience throughout the scheduling process.
- Contribute to the continuous improvement of scheduling processes and tools.
Required Skills
- Proven experience in a coordination or administrative role, preferably within a fast-paced agency or corporate environment.
- Exceptional organizational and time management skills with the ability to multitask effectively.
- Strong verbal and written communication skills, with a professional and empathetic approach.
- Proficiency in using scheduling software, calendar management tools (e.g., Google Calendar, Outlook Calendar), and Applicant Tracking Systems (ATS).
- High level of attention to detail and accuracy.
