Job Description

We are seeking a highly organized and empathetic Case Management Assistant to join our dedicated team at Sandals Negril. This vital role supports our case management efforts, which can range from assisting with guest relations and special requests to supporting employee welfare initiatives, ensuring smooth operations and high satisfaction levels for both our guests and staff. The ideal candidate will be instrumental in managing administrative tasks, maintaining meticulous records, and facilitating effective communication between various departments and individuals involved in a ‘case’.

As a Case Management Assistant, you will play a crucial role in the initial intake process, gathering necessary information, and ensuring all documentation is accurately filed and easily accessible. Your day-to-day will involve scheduling appointments, coordinating meetings, preparing reports, and acting as a primary point of contact for inquiries related to ongoing cases. This position requires someone with exceptional attention to detail, strong interpersonal skills, and a proactive approach to problem-solving. Key Responsibilities

  • Provide comprehensive administrative support to the Case Management team, including data entry, filing, and record keeping.
  • Manage and maintain confidential case files, ensuring accuracy, completeness, and compliance with all company policies.
  • Assist with the intake process, collecting pertinent information and documentation from guests or employees.
  • Schedule and coordinate meetings, appointments, and follow-ups for case managers and involved parties.
  • Prepare, edit, and distribute various communications, reports, and presentations as required.
  • Act as a liaison between different departments, guests, and employees to facilitate information exchange and resolution.
  • Monitor progress of cases and ensure timely completion of tasks and follow-ups.
  • Maintain an organized system for tracking case statuses and deadlines.
  • Respond to inquiries and provide basic information regarding case procedures and services.
  • Assist in the compilation of statistics and data for periodic reporting and analysis.

Required Skills

  • Proven experience in an administrative or support role, preferably within a fast-paced environment.
  • Exceptional organizational and time management skills with a strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry systems.
  • Excellent verbal and written communication skills in English.
  • Strong interpersonal skills with the ability to handle sensitive information with discretion and empathy.
  • Ability to work independently and as part of a team.
  • Proactive problem-solving abilities and a can-do attitude.

Preferred Qualifications

  • Associate's Degree or Diploma in Business Administration, Hospitality Management, or a related field.
  • Previous experience in a hospitality or healthcare administrative setting.
  • Familiarity with case management principles or client service protocols.
  • Ability to speak a second language (e.g., Spanish, French) is a plus.
