The CEO Assistant – Confidential Support at Career.zycto plays a pivotal role in ensuring the seamless and efficient operation of the Chief Executive Officer’s office. Key Responsibilities
- Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and extensive national and international travel arrangements.
- Act as the primary point of contact and gatekeeper for internal and external stakeholders, screening and directing communications (calls, emails, visitors) appropriately and efficiently.
- Prepare, proofread, and edit highly sensitive correspondence, reports, presentations, and other confidential documents, ensuring accuracy, consistency, and adherence to company standards.
- Organise and coordinate high-level meetings, including agenda preparation, minute-taking, distribution of materials, and rigorous follow-up on action items and decisions.
- Handle highly confidential and sensitive company, personal, and financial information with absolute discretion, integrity, and strict adherence to privacy protocols.
- Conduct thorough research, compile comprehensive data, and prepare detailed summaries or executive briefs for various strategic projects and initiatives.
- Process expenses, invoices, and other financial documents on behalf of the CEO, ensuring accurate record-keeping and timely submissions.
- Proactively anticipate the CEO's needs, identify potential issues, and resolve operational and administrative challenges before they arise, demonstrating strong foresight.
- Assist with personal administrative tasks as required, always maintaining strict professional boundaries and adhering to ethical guidelines.
- Oversee office management tasks specific to the CEO's private office, ensuring a seamless, organised, and productive workflow.
Required Skills
- Proven experience (5+ years) supporting C-level executives (CEO, President, Board Members) in a fast-paced corporate environment.
- Exceptional organisational, prioritisation, and time management skills with a meticulous attention to detail.
- Superior written and verbal communication abilities, capable of drafting professional correspondence and reports.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and modern office technologies.
- Demonstrated ability to handle highly confidential information with impeccable discretion, judgment, and integrity.
- Strong problem-solving and independent decision-making capabilities, with a proactive approach to challenges.
