Key Responsibilities

  • Greet patients warmly, register new patients, and update existing patient information.
  • Manage appointment scheduling, cancellations, and reschedules efficiently.
  • Prepare examination rooms for patient visits, ensuring cleanliness and adequate supplies.
  • Assist medical staff with patient intake, including taking vital signs and documenting medical history.
  • Handle incoming calls, direct inquiries, and provide general information about clinic services.
  • Process patient payments, manage billing inquiries, and liaise with insurance providers.
  • Maintain electronic and physical patient records, ensuring accuracy and confidentiality.
  • Manage inventory of medical supplies and office materials, placing orders as needed.
  • Assist with basic laboratory procedures and specimen handling as directed by medical staff.
  • Ensure the waiting area and common spaces are tidy and welcoming.
  • Perform general administrative duties such as filing, faxing, scanning, and correspondence.
  • Collaborate effectively with physicians, nurses, and other clinic staff to optimize patient flow.

Required Skills

  • Minimum of 1 year of experience in a medical office, clinic, or healthcare setting.
  • Proficiency in medical office software and electronic medical records (EMR) systems.
  • Exceptional organizational and time management skills.
  • Strong communication and interpersonal abilities, both written and verbal.
  • Ability to multi-task and prioritize in a fast-paced environment.
  • High level of professionalism and attention to detail.
  • Discretion and strict adherence to patient confidentiality (FOIP/HIPAA guidelines).
  • Basic computer literacy (Microsoft Office Suite).

Preferred Qualifications

  • Medical Office Assistant (MOA) certificate or diploma from an accredited institution.
  • Knowledge of medical terminology and billing procedures.
  • Experience with specific EMR systems used in Alberta clinics.
  • Current Basic Life Support (BLS) certification.
