Key Responsibilities

  • Greet and welcome patients and visitors in a friendly and professional manner, managing patient check-ins and check-outs.
  • Schedule and confirm patient appointments, managing appointment calendars and coordinating with various healthcare providers.
  • Answer and direct phone calls, faxes, and emails, handling inquiries efficiently and courteously.
  • Maintain accurate and up-to-date patient records, ensuring strict confidentiality and compliance with privacy regulations.
  • Process patient payments, manage billing inquiries, and liaise with insurance providers as required.
  • Prepare examination rooms, sterilize equipment, and ensure all supplies are stocked and readily available.
  • Assist medical staff with minor procedures and patient support as needed, under direct supervision.
  • Manage incoming and outgoing mail and deliveries, maintaining an organized reception area.
  • Maintain clinic cleanliness and organization, ensuring a safe and welcoming environment for all.
  • Assist with administrative tasks such as filing, scanning, and data entry, supporting overall clinic efficiency.
  • Collaborate effectively with all team members to ensure a cohesive and high-performing clinic environment.

Required Skills

  • Minimum 1 year of experience in an administrative or customer service role, preferably in a medical or clinic setting.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with learning new software.
  • Demonstrated ability to maintain confidentiality and handle sensitive patient information with discretion.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to multitask and prioritize effectively in a busy environment.
  • A compassionate and patient-focused approach.
  • Legally eligible to work in Canada.

Preferred Qualifications

  • Post-secondary education in Medical Office Administration or a related field.
  • Experience with Electronic Medical Records (EMR) systems.
  • Basic knowledge of medical terminology.
  • First Aid and CPR certification.
