Job Description

Key Responsibilities

  • Greet and welcome patients and visitors with a friendly, empathetic, and professional demeanor.
  • Answer multi-line phones, direct calls, and manage patient inquiries efficiently and courteously.
  • Schedule, reschedule, and confirm patient appointments, ensuring optimal clinic flow and minimal wait times.
  • Register new patients and accurately update existing patient information in the electronic health record (EHR) system.
  • Collect co-pays and outstanding balances, process payments securely, and issue detailed receipts.
  • Maintain strict patient confidentiality in accordance with all healthcare regulations and ethical guidelines.
  • Prepare and organize patient charts and necessary paperwork for scheduled clinic visits.
  • Manage incoming and outgoing mail, faxes, and other communications.
  • Maintain a tidy, organized, and welcoming reception area at all times.
  • Assist with various administrative tasks as needed to support overall clinic operations.
  • Coordinate effectively with medical staff to ensure timely patient flow and proactively address any operational issues.

Required Skills

  • Proven experience (minimum 1 year) as a receptionist, preferably in a medical or clinic setting.
  • Exceptional verbal and written communication skills in both English and Swahili.
  • Proficiency in using standard office software (MS Office Suite) and familiarity with EHR/EMR systems.
  • Strong organizational skills and the ability to multitask effectively with excellent attention to detail.
  • Ability to handle sensitive information with utmost discretion and maintain stringent patient confidentiality.
  • Customer-service oriented approach with a professional, compassionate, and patient attitude.
  • Ability to work both independently and collaboratively as part of a dedicated team in a dynamic environment.

Preferred Qualifications

  • Diploma or certificate in Medical Office Administration or a related field.
  • Familiarity with basic medical terminology and health insurance procedures.
  • Experience with a specific clinic management software used in Tanzania.
  • First Aid and CPR certification is an advantage.
