Key Responsibilities

  • Manage and organize patient records, ensuring accuracy, completeness, and confidentiality.
  • Schedule and confirm patient appointments, manage clinic calendars, and handle rescheduling requests efficiently.
  • Greet patients and visitors warmly, assist with check-in/check-out procedures, and direct them appropriately.
  • Process patient registrations, update demographic and insurance information, and verify details.
  • Handle incoming calls, emails, and correspondence, directing inquiries to the appropriate personnel.
  • Prepare examination rooms, ensure they are stocked with necessary supplies, and maintain cleanliness.
  • Assist medical staff with administrative tasks, including preparing reports, presentations, and correspondence.
  • Coordinate with pharmacies, laboratories, and other medical facilities for patient referrals and follow-ups.
  • Manage inventory of office and medical supplies, placing orders as needed to maintain adequate stock levels.
  • Maintain a clean, organized, and welcoming reception and waiting area.
  • Adhere strictly to all healthcare privacy regulations (e.g., DHA, MOHAP guidelines) and clinic policies.

Required Skills

  • Proven experience in an administrative or secretarial role, preferably within a medical or clinical setting.
  • Exceptional organizational and time management skills with a keen eye for detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and clinic management software.
  • Strong verbal and written communication skills in English; Arabic proficiency is a significant advantage.
  • Ability to handle sensitive information with the utmost discretion and confidentiality.
