Job Description

Career.zycto is seeking a dynamic and culturally adept Conference Organiser to join our expanding team in the heart of Stockbridge, Edinburgh. This unique role is specifically designed to cater to our diverse, international clientele, ensuring that every conference we host is not only impeccably executed but also profoundly welcoming and accessible to attendees from around the globe. Your expertise will cover the entire event lifecycle, from initial concept development and strategic planning, through to meticulous logistical execution and post-event analysis. We are looking for someone who can navigate the complexities of international events, including managing diverse delegate expectations, understanding global travel logistics, and integrating culturally sensitive practices into every aspect of event design. This involves selecting venues with excellent international connectivity, curating menus that respect various dietary and cultural requirements, and ensuring marketing materials resonate with a global audience.

Key Responsibilities

  • Lead the end-to-end planning and execution of international conferences and events, ensuring cultural sensitivity and inclusivity.
  • Develop comprehensive event strategies, timelines, and budgets tailored for a global audience.
  • Identify, select, and manage relationships with international venues, vendors, and suppliers, negotiating contracts effectively.
  • Coordinate all logistical aspects, including delegate registration, accommodation, travel arrangements, and on-site support for foreign attendees.
  • Manage event marketing and communication campaigns across various international platforms.
  • Liaise with international speakers, sponsors, and partners, ensuring their needs are met and expectations exceeded.
  • Oversee on-site event management, ensuring smooth operations and swift resolution of any issues.
  • Conduct post-event evaluations, gathering feedback from international delegates to drive continuous improvement.
  • Ensure compliance with relevant international regulations and accessibility standards.
  • Prepare detailed reports and analyses on event performance and ROI for international events.

Required Skills

  • Minimum of 3 years of progressive experience in conference or event management, preferably with an international focus.
  • Demonstrable experience managing budgets and negotiating with vendors.
  • Exceptional organisational and project management skills with a keen eye for detail.
  • Strong cross-cultural communication and interpersonal abilities, both written and verbal.
  • Proficiency in event management software and CRM systems.
  • Ability to work effectively under pressure and manage multiple projects simultaneously.
  • Proven problem-solving capabilities and a proactive approach.
  • High level of cultural awareness and sensitivity.
  • Fluency in English.

Preferred Qualifications

  • Bachelor's degree in Events Management, Hospitality, International Relations, or a related field.
  • Experience living or working abroad, demonstrating adaptability to different cultural contexts.
  • Proficiency in additional languages (e.g., French, German, Spanish, Mandarin).
  • Familiarity with visa processes and international travel regulations.
