Key Responsibilities

  • Greet and welcome patients in a warm and professional manner, ensuring a positive first impression.
  • Efficiently manage the appointment book, scheduling, rescheduling, and confirming appointments.
  • Answer incoming calls and emails, addressing patient inquiries and directing them appropriately.
  • Process patient registrations, update personal details, and maintain accurate and confidential patient records.
  • Handle billing, take payments, and manage financial transactions, including processing insurance claims.
  • Explain treatment plans and costs to patients clearly and concisely, answering any questions they may have.
  • Maintain the cleanliness and tidiness of the reception and waiting areas.
  • Liaise effectively with dentists, dental nurses, and other team members to ensure smooth patient flow.
  • Manage incoming and outgoing post, ensuring administrative tasks are completed promptly.
  • Assist with stock ordering for reception supplies when required.

Required Skills

  • Proven experience in a customer service or reception role.
  • Excellent verbal and written communication skills.
  • Strong organisational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High level of attention to detail and accuracy.
  • Ability to work effectively both independently and as part of a team.
  • Empathetic and patient-focused approach.
  • Discretion and respect for patient confidentiality.

Preferred Qualifications

  • Previous experience working in a dental practice or healthcare setting.
  • Familiarity with dental software systems (e.g., SOE Exact, Dentally, Kodak R4).
  • Knowledge of dental terminology and procedures.
  • Basic First Aid certification.
  • GCSEs (or equivalent) in English and Mathematics at grade C/4 or above.
