Job Description

Are you passionate about organization, digital media, and cultural preservation? The Vancouver Chinatown Foundation is seeking a meticulous and tech-savvy Digital Asset Management Assistant to join our dynamic team. In this flexible, part-time role, you will play a crucial part in organizing, cataloging, and maintaining our growing library of digital assets, which includes an extensive collection of photographs, videos, historical documents, marketing materials, and various internal resources. This position offers the unique opportunity to contribute significantly to the safeguarding and accessibility of invaluable digital content that tells the rich story of Vancouver’s Chinatown and actively supports the Foundation’s wide range of initiatives and programs. You will work closely with various departments, including communications, programs, and development, ensuring that our digital resources are easily discoverable, consistently tagged, and compliant with all relevant usage rights and archival standards. If you possess a keen eye for detail, exceptional organizational skills, a foundational understanding of digital media, and a desire to make a tangible impact on a community-focused non-profit, we encourage you to apply. Key Responsibilities

  • Organize, categorize, and tag digital assets (e.g., images, videos, audio files, documents) according to established metadata standards and taxonomies within the DAM system.
  • Ingest new digital assets into the Digital Asset Management (DAM) system, ensuring proper file naming conventions, consistent metadata application, and quality control.
  • Perform regular audits of the DAM system to ensure data integrity, accuracy, and compliance with usage rights, licensing agreements, and retention policies.
  • Provide support to staff members across various departments in locating, retrieving, and properly utilizing digital assets for their projects and initiatives.
  • Assist in the digitization of physical historical documents, photographs, and media, converting them into appropriate digital formats suitable for long-term archiving and access.
  • Maintain comprehensive documentation for DAM system procedures, best practices, and user guides to ensure consistency and ease of use.
  • Collaborate with marketing, communications, and program teams to understand their evolving asset needs and continuously improve accessibility and usability of the DAM system.
  • Assist with basic image editing, video trimming, or audio cleanup for quick usage when necessary, adhering to brand guidelines.
  • Contribute to the continuous improvement and evolution of the DAM system and related workflows, staying informed about industry best practices.

Required Skills

  • Proven experience (1+ year) with digital file organization, data entry, or content management in a professional setting.
  • Proficiency in using Digital Asset Management (DAM) systems or similar content management platforms (e.g., SharePoint, dedicated DAM solutions).
  • Excellent organizational skills, meticulous attention to detail, and a methodical approach to tasks.
  • Strong understanding of metadata, keywords, taxonomies, and their importance in digital asset discoverability.
  • Familiarity with various digital file formats (JPEG, PNG, TIFF, MP4, MOV, PDF, DOCX, etc.) and their appropriate uses.
  • Ability to work independently and manage time effectively, especially within a flexible scheduling framework.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse teams.
  • Proficiency in Microsoft Office Suite or Google Workspace for general office tasks and documentation.

Preferred Qualifications

  • Experience with specific DAM software (e.g., Bynder, Canto, Adobe Experience Manager Assets, FotoWare).
  • Educational background in library science, archives, media studies, information management, or a related field.
  • Familiarity with basic graphic design software (e.g., Adobe Photoshop, Canva) for minor asset adjustments.
  • Knowledge of Vancouver's Chinatown history, culture, and community.
  • Experience working in a non-profit, cultural heritage, or educational organization.
  • Ability to speak Cantonese or Mandarin is an asset, but not required.
