Key Responsibilities
- Coordinate and schedule drivers and delivery personnel for daily routes, ensuring optimal resource allocation.
- Monitor real-time delivery progress using GPS tracking and dispatch software, addressing any issues or delays promptly and proactively.
- Optimize routes using mapping and logistics software to enhance efficiency, reduce travel times, and minimize operational costs.
- Maintain accurate and detailed records of all dispatches, delivery times, vehicle movements, and driver activities.
- Communicate effectively and professionally with drivers, customers, and internal departments regarding delivery statuses, changes, and any potential issues.
- Handle customer inquiries and complaints professionally and efficiently, providing timely and satisfactory resolutions.
- Ensure strict compliance with all local transportation regulations, safety standards, and company policies.
- Prepare comprehensive daily, weekly, and monthly dispatch performance reports for management review.
- Assist in troubleshooting operational issues, identifying root causes, and implementing effective, sustainable solutions.
- Manage vehicle allocation and coordinate maintenance schedules in collaboration with the fleet management team to ensure fleet readiness.
Required Skills
- Proven experience (minimum 2 years) in a dispatch or logistics coordination role.
- Excellent organizational and time management skills, with the ability to prioritize effectively.
- Strong geographical knowledge of Nairobi and its surrounding areas.
- Proficiency in dispatch software, GPS tracking systems, and Microsoft Office Suite (especially Excel).
- Exceptional communication (written and verbal) and strong interpersonal abilities.
- Ability to work efficiently under pressure, multi-task, and make quick, effective decisions.
- Highly developed problem-solving aptitude with a proactive and solution-oriented approach.
- High level of attention to detail and accuracy in record-keeping and data entry.
Preferred Qualifications
- Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Experience with specific advanced logistics platforms (e.g., Fleet Management Systems, Route Optimization Software).
- In-depth knowledge of local transportation laws and regulations in Kenya.
- First Aid certification (an advantageous qualification for field support and safety).
- Proficiency in both Swahili and English.
