Job Description

Are you a highly organized and detail-oriented professional with a knack for precision? Shanti Maurice Resort & Spa is seeking a meticulous Document Controller to join our dynamic team. In this pivotal role, you will be instrumental in managing, organizing, and maintaining all critical documents and records across various departments within our luxurious resort. This includes everything from operational procedures, health and safety manuals, and human resources policies to legal contracts, permits, and financial records. You will be responsible for establishing and upholding robust document control systems, guaranteeing that all documentation is current, accurately classified, easily retrievable, and adheres to internal policies and external regulatory requirements. The ideal candidate will ensure the integrity, confidentiality, and accessibility of information, playing a crucial part in our operational efficiency and compliance. This position requires a proactive individual who can effectively communicate across departments, demonstrating exceptional attention to detail and a commitment to maintaining the highest standards of data management in a fast-paced hospitality environment. Key Responsibilities

  • Manage and maintain a comprehensive document control system for all company documents, ensuring accuracy, consistency, and compliance with established standards.
  • Implement and oversee document version control, ensuring that only the latest approved versions of documents are in circulation and accessible.
  • Control the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents, ensuring easy and efficient access when required.
  • Distribute controlled documents to relevant stakeholders and departments, maintaining distribution lists and tracking acknowledgment of receipt.
  • Archive obsolete documents in accordance with company policy and legal requirements, ensuring secure and traceable storage.
  • Ensure all documentation adheres to the company's branding, formatting guidelines, and regulatory compliance standards, including data protection regulations.
  • Assist in the development and implementation of document control procedures and workflows, continually seeking improvements for efficiency.
  • Conduct regular audits of the document management system to verify data integrity and compliance.
  • Provide training and support to staff on document control procedures and the use of the document management system.
  • Maintain strict confidentiality regarding sensitive information and documents at all times.

Required Skills

  • Proven experience as a Document Controller or in a similar administrative role (minimum 2 years).
  • Exceptional organizational and time management skills with a meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management software/systems.
  • Strong verbal and written communication skills in English and French (Mauritian Creole an advantage).
  • Ability to work independently and collaboratively within a team environment.
  • High level of integrity and ability to handle confidential information with discretion.
  • Problem-solving aptitude and ability to adapt to changing priorities.

Preferred Qualifications

  • Diploma or Degree in Business Administration, Information Management, or a related field.
  • Previous experience in the hospitality industry, particularly within a luxury resort setting.
  • Knowledge of relevant data protection laws and compliance standards (e.g., GDPR).
  • Familiarity with ISO standards related to document control.
  • Certification in document control or records management.
