Key Responsibilities

  • Develop comprehensive event plans, including detailed timelines, meticulous budgets, and strategic resource allocation for a variety of company events.
  • Conduct thorough research for suitable venues, negotiate advantageous contracts, and ensure all facility requirements, safety standards, and logistical needs are met.
  • Manage all critical logistical aspects, including transportation, accommodation for guests/staff, audiovisual equipment setup, catering services, and comprehensive security arrangements.
  • Source, evaluate, and cultivate strong relationships with external vendors, suppliers, and contractors to ensure the delivery of high-quality services within budgetary constraints.
  • Obtain all necessary permits, licenses, and comprehensive insurance coverage for events, meticulously ensuring full compliance with all local regulations and industry standards.
  • Coordinate all aspects of on-site event setup, precise execution, and efficient dismantle, providing hands-on support and proactive troubleshooting as required.
  • Develop and rigorously manage event budgets, tracking all expenses meticulously and ensuring cost-effectiveness without ever compromising event quality or objectives.
  • Create detailed event schedules, comprehensive run-of-shows, and clear briefings for internal teams, external vendors, and event participants.
  • Implement robust contingency plans to effectively address any unforeseen issues, challenges, or emergencies that may arise during events.
  • Conduct thorough post-event evaluations, gathering feedback, analyzing key data, and preparing insightful reports to assess success, measure ROI, and identify areas for continuous improvement.
  • Maintain and regularly update a comprehensive database of preferred venues, trusted vendors, and key industry contacts.
  • Collaborate closely and synergistically with marketing, sales, and brand teams to ensure all event objectives are perfectly aligned with the overall company strategy and brand messaging.

Required Skills

  • Proven experience (minimum 3 years) in event coordination with a strong portfolio of successful events, particularly those involving complex logistics and multiple venues.
  • Exceptional project management skills, with the ability to effectively manage multiple projects simultaneously and consistently meet tight deadlines.
  • Strong negotiation and vendor management abilities, with a keen focus on securing the best value and quality.
  • Excellent communication, interpersonal, and presentation skills, capable of interacting effectively with diverse stakeholders at all organizational levels.

  • Proficiency in event management software (e.g., Eventbrite, Cvent) and advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Fluent in English and French, both written and spoken, to effectively communicate in the Mauritian context.

Preferred Qualifications

  • Certification in Event Management (e.g., Certified Meeting Professional – CMP).
  • Familiarity with the Mauritian market, including local suppliers, event regulations, and prominent venues.
  • Experience with large-scale brand activation campaigns and corporate social responsibility (CSR) events.
  • Valid Mauritian driving license and a willingness to travel locally as required for event site visits and management.
