Key Responsibilities

  • Consult with clients to determine event objectives, requirements, and budget constraints.
  • Develop comprehensive event proposals, including themes, venue selection, catering, entertainment, and décor concepts.
  • Create and manage detailed event timelines, production schedules, and logistical plans.
  • Source, negotiate, and manage contracts with a wide range of vendors (caterers, florists, photographers, audiovisual, transportation, etc.).
  • Oversee event setup, execution, and breakdown, ensuring smooth operations, adherence to schedules, and effective problem resolution.
  • Manage event budgets, track all expenses meticulously, and provide detailed financial reconciliation.
  • Conduct thorough post-event evaluations to gather client feedback and identify areas for continuous improvement.
  • Build and maintain strong, collaborative relationships with clients, vendors, and venue partners.
  • Ensure all events comply with safety regulations, local permits, and any relevant legal requirements.

Required Skills

  • Proven experience in event planning, specifically with a portfolio demonstrating success in both wedding and corporate events.
  • Exceptional organizational and project management skills, capable of handling multiple events simultaneously.
  • Strong negotiation and vendor management abilities, with a track record of securing favorable terms.
  • Excellent communication (verbal and written) and interpersonal skills for client and team interactions.
  • Proficiency in event management software, CRM tools, and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Expertise in budgeting, financial forecasting, and expense tracking for events.
  • Outstanding creative vision and an impeccable eye for aesthetics, design, and detail.
  • Ability to work independently, demonstrate initiative, and manage time effectively.
  • Superior problem-solving capabilities and ability to remain calm and decisive under pressure.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certification in Event Management (e.g., Certified Meeting Professional – CMP).
  • Established network of local Jamaican vendors, suppliers, and venue contacts.
  • In-depth familiarity with Kingston's event landscape, cultural nuances, and logistical challenges.
  • A comprehensive portfolio showcasing a diverse range of successful past events (both weddings and corporate).
