Job Description

Are you a seasoned Event Planner with a flair for orchestrating flawless weddings and impactful corporate gatherings? Career.zycto is seeking a highly motivated and creative freelance professional to join our network of elite event specialists. This is an exciting opportunity for an individual with a proven track record in both matrimonial and business events, who thrives on the challenge of bringing diverse visions to life. As a freelance Event Planner, you will be responsible for conceptualizing, planning, and executing a wide array of events for our esteemed clients across Ginger Hill, Savanna-la-Mar, and wider Westmoreland Parish. You will leverage your expertise to manage every detail, from initial client consultations and budget management to vendor coordination, design conceptualization, and on-site execution. We are looking for someone who can effortlessly balance the romantic elegance of a wedding with the strategic objectives of a corporate function, ensuring every event is not just successful, but truly memorable and exceeds client expectations. Key Responsibilities

  • Conduct comprehensive client consultations to understand specific event needs, preferences, and objectives for both wedding and corporate clients.
  • Develop detailed event proposals, including theme concepts, logistical plans, budget breakdowns, and timelines.
  • Source, negotiate with, and manage a diverse range of vendors (caterers, venues, decorators, photographers, entertainers, etc.) to ensure high-quality service delivery within budget.
  • Create and manage event budgets, tracking all expenses and providing regular updates to clients.
  • Design and implement event layouts, decor, and overall aesthetic, aligning with client vision and brand guidelines.
  • Oversee all logistical aspects of events, including venue selection, permits, transportation, and guest management.
  • Provide exceptional on-site event management, ensuring seamless execution, timely problem-solving, and adherence to all plans.
  • Maintain clear and consistent communication with clients throughout the planning process, providing regular updates and managing expectations.
  • Post-event evaluation, including gathering client feedback and providing reports for continuous improvement.
  • Stay abreast of industry trends, technologies, and best practices in both wedding and corporate event planning.

Required Skills

  • Minimum of 4 years of proven experience in event planning, specifically with a portfolio demonstrating both wedding and corporate event successes.
  • Exceptional organizational and time management skills, capable of handling multiple projects simultaneously.
  • Strong negotiation and vendor management abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in budget management and financial planning for events.
  • Creative flair and a keen eye for detail in event design and execution.
  • Strong problem-solving skills and ability to perform under pressure.
  • Client-focused approach with a dedication to delivering outstanding service.
  • Proficiency with event management software and Microsoft Office Suite (Word, Excel, PowerPoint).

Preferred Qualifications

  • Bachelor’s degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certification in Event Management (e.g., CMP, CSEP).
  • Experience working with diverse cultural events and international clients.
  • A strong local network of vendors and venues in Westmoreland Parish and surrounding areas.
  • Ability to speak Patois or other local dialects is a plus.
