Key Responsibilities

  • Serve as the primary point of contact for clients, understanding their vision, requirements, and budget for both wedding and corporate events.
  • Develop comprehensive event proposals, including detailed concepts, themes, timelines, and cost estimates.
  • Manage event budgets meticulously, ensuring all expenses are tracked and kept within agreed-upon limits.
  • Source, negotiate with, and manage a diverse range of vendors (caterers, venues, decorators, photographers, entertainment, AV, etc.) to secure the best services and rates.
  • Create detailed event schedules, layouts, and logistical plans, coordinating all operational aspects.
  • Oversee on-site event execution, managing setup, breakdown, and all activities during the event to ensure smooth operation.
  • Provide innovative and creative solutions for event design, decor, and overall guest experience.
  • Conduct post-event evaluations, gathering feedback and preparing reports to assess success and identify areas for improvement.
  • Maintain up-to-date knowledge of industry trends, best practices, and new technologies in event planning.
  • Handle unexpected issues or emergencies professionally and efficiently.

Required Skills

  • Proven experience in event planning, specifically with both wedding and corporate events.
  • Exceptional client management and communication skills, both written and verbal.
  • Strong project management abilities, including organization, multitasking, and attention to detail.
  • Proficiency in budget creation and financial management for events.
  • Excellent negotiation and vendor management capabilities.
  • Creative flair and an eye for aesthetics and design.
  • Ability to work independently and as part of a collaborative team, adapting to various project needs.
  • Problem-solving skills and the ability to remain calm and effective under pressure.
  • Proficiency with event planning software and Microsoft Office Suite (Word, Excel, PowerPoint).

Preferred Qualifications

  • Certification in Event Management (e.g., CSEP – Certified Special Events Professional).

  • Existing network of reputable vendors in Kingston, Jamaica.
