Key Responsibilities
- Conceptualize, plan, and execute a wide range of events, including weddings, corporate meetings, conferences, gala dinners, and private celebrations, ensuring alignment with client objectives and budget.
- Conduct initial client consultations to understand their vision, preferences, and specific requirements for each event.
- Develop detailed event proposals, including theme, venue selection, vendor recommendations, timelines, and comprehensive budget breakdowns.
- Source, negotiate contracts with, and manage relationships with external vendors such as caterers, florists, photographers, videographers, entertainment, and technical support.
- Oversee all logistical aspects of event planning, including permits, licenses, insurance, transportation, accommodation, and on-site setup/teardown.
- Manage event budgets meticulously, tracking expenses and ensuring cost-effectiveness without compromising quality.
- Coordinate event timelines and schedules, ensuring all elements are delivered punctually and efficiently.
- Act as the primary point of contact for clients and vendors throughout the planning process, providing regular updates and promptly addressing any concerns.
- Conduct on-site event management, supervising setup, execution, and breakdown to ensure a seamless and successful experience.
- Implement contingency plans to proactively address potential issues and ensure smooth event flow.
- Post-event follow-up, including feedback collection, vendor payments, and final report compilation.
Required Skills
- Proven experience as an Event Planner, with a strong portfolio showcasing both wedding and corporate events.
- Exceptional organizational skills and an acute attention to detail.
- Superior negotiation and vendor management abilities.
- Excellent communication, interpersonal, and client relations skills.
- Proficient in budget management and financial tracking for events.
- Strong problem-solving capabilities and ability to perform under pressure.

- Advanced proficiency with event planning software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Deep understanding of event safety regulations and best practices.
- Must possess own reliable transportation and be willing to travel within the Rose Hall, Montego Bay area and surrounding parishes as needed.
Preferred Qualifications
- Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
- Event planning certification (e.g., CMP – Certified Meeting Professional).
- Established network of high-quality local vendors in Rose Hall, Montego Bay, and wider Jamaica.
- Experience with luxury event planning.
