Career.zycto is actively seeking an experienced Freelance Event Planner specializing in both wedding and corporate events to join our network of top-tier independent professionals in Coopers Pen, Falmouth, Jamaica. As a Freelance Event Planner partnered with Career.zycto, you will be the driving force behind unforgettable celebrations and impactful corporate gatherings. Your primary mission will be to transform client aspirations into seamless, memorable realities, from the initial concept development to the final execution. You’ll manage every facet of event planning for both intimate weddings and large-scale corporate functions, including budget creation and adherence, vendor selection and negotiation, timeline management, logistical coordination, and on-site oversight. We seek someone who thrives on creativity, possesses impeccable organizational skills, and can adapt to the unique challenges and opportunities presented by each distinct event.

This role demands a meticulous approach, excellent communication abilities, and a proven track record in delivering high-quality events. You’ll be responsible for conducting thorough client consultations to understand their vision, preferences, and objectives, then translating these into comprehensive event proposals. From scouting ideal venues in Trelawny Parish and beyond, to coordinating catering, entertainment, décor, and technical requirements, your expertise will be crucial. You will also be tasked with managing RSVPs, developing contingency plans, and ensuring all regulatory requirements are met, particularly for larger corporate events. For weddings, a keen eye for aesthetic detail and an empathetic understanding of the couple’s special day are paramount. For corporate events, a strategic mindset, brand alignment, and an understanding of business objectives are essential.

Key Responsibilities

  • Conduct thorough client consultations to ascertain event vision, objectives, and budget.
  • Develop detailed event proposals, including themes, concepts, timelines, and logistical plans.
  • Source, negotiate with, and manage vendors (caterers, venues, florists, entertainment, technical crews, etc.).
  • Create and manage comprehensive event budgets, ensuring adherence to financial parameters.
  • Oversee all logistical aspects of events, including scheduling, setup, and breakdown.
  • Provide on-site coordination and management during events to ensure seamless execution.
  • Manage guest lists, RSVPs, and seating arrangements for various event scales.
  • Develop contingency plans for potential issues and unexpected changes.
  • Ensure compliance with all relevant health, safety, and regulatory requirements.
  • Conduct post-event evaluations and gather client feedback for continuous improvement.

Required Skills

  • Proven experience in event planning for both wedding and corporate sectors (minimum 3 years)
  • Exceptional organizational and time management skills
  • Strong negotiation and vendor management abilities
  • Excellent communication, interpersonal, and presentation skills
  • Proficiency in event management software and project management tools

Preferred Qualifications

  • Bachelor’s degree in Hospitality Management, Event Management, Marketing, or a related field
  • Professional certification (e.g., Certified Meeting Professional – CMP, Certified Special Events Professional – CSEP)
  • A strong portfolio showcasing successful wedding and corporate events
  • Established network of local vendors and venues in Jamaica
  • Knowledge of current event trends and technologies
