Career.zycto is seeking a dynamic and highly organized Freelance Event Planner specializing in both wedding and corporate events to join our growing network of independent professionals in Ewarton, St. Catherine. As a Freelance Event Planner, you will be the driving force behind the successful conceptualization, planning, and execution of diverse events, ranging from intimate weddings and grand receptions to high-profile corporate conferences, product launches, and gala dinners. Your role will involve close collaboration with clients to understand their vision, objectives, and budget, translating these into meticulously crafted event proposals and detailed execution plans. We are looking for someone who can manage multiple projects simultaneously, demonstrating exceptional attention to detail, strong negotiation skills with vendors, and a calm, problem-solving demeanor under pressure.

You will be responsible for end-to-end event management, including venue selection, vendor procurement (catering, decor, entertainment, AV, photography), budget management, timeline creation, and on-site coordination. Your ability to anticipate needs, mitigate risks, and adapt to unforeseen challenges will be critical to ensuring seamless events that exceed client expectations. Key Responsibilities

  • Consult with clients to understand event objectives, scope, and budget for weddings and corporate functions.
  • Develop comprehensive event proposals, including themes, concepts, timelines, and detailed cost breakdowns.
  • Identify, vet, and negotiate with a wide range of vendors, including venues, caterers, florists, entertainment, photographers, and technical suppliers.
  • Manage event budgets, track expenses, and ensure financial targets are met.
  • Create and manage detailed event timelines, production schedules, and logistical plans.
  • Coordinate all pre-event arrangements, including invitations, guest lists, RSVPs, and seating plans.
  • Oversee on-site event setup, management, and breakdown, ensuring seamless execution.
  • Act as the primary point of contact for clients and vendors throughout the event lifecycle.
  • Proactively identify and resolve potential issues or challenges before and during events.
  • Conduct post-event evaluations, gather feedback, and prepare final reports.

Required Skills

  • Proven experience in end-to-end event planning and management for both wedding and corporate events.
  • Exceptional organizational and project management skills with meticulous attention to detail.
  • Strong communication, negotiation, and interpersonal abilities.
  • Proficiency in budget management and financial tracking.
  • Ability to work independently, manage multiple projects, and meet tight deadlines.
  • Creativity and a keen eye for aesthetics and current event trends.
  • Strong problem-solving skills and the ability to remain calm under pressure.
  • Proficiency in event management software (e.g., Aisle Planner, HoneyBook, Cvent) and Microsoft Office Suite.
  • Valid driver's license and access to reliable transportation.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
  • Certification in Event Planning (e.g., CMP, CSEP).
  • Portfolio showcasing successful past wedding and corporate events.
  • Established network of local vendors in St. Catherine and wider Jamaica.
  • Experience with virtual or hybrid event formats.
