Career.zycto is seeking a highly creative, organized, and self-driven Freelance Event Planner specializing in both enchanting weddings and impactful corporate events. As a Freelance Event Planner with Career.zycto, you will be the maestro behind every detail, from initial concept development to flawless execution. Your portfolio will span everything from intimate ceremonies and grand matrimonial celebrations that reflect a couple’s unique love story, to high-profile corporate conferences, product launches, and gala dinners designed to elevate brand presence and achieve strategic objectives. This is an autonomous role, requiring you to proactively engage with clients, understand their vision, and translate it into a meticulously planned event.

You will be responsible for end-to-end event management, which includes comprehensive budget creation and oversight, meticulous vendor sourcing and negotiation (including caterers, venues, florists, entertainment, photographers, and technical support), detailed timeline management, and on-site coordination. Your ability to anticipate challenges, solve problems creatively under pressure, and maintain a calm, professional demeanor will be crucial for success. Key Responsibilities

  • Conduct thorough client consultations to understand event objectives, visions, and budget constraints for both wedding and corporate events.
  • Develop detailed event proposals, including theme, design, vendor recommendations, timelines, and comprehensive budgets.
  • Source, negotiate with, and manage a diverse range of vendors (venues, caterers, florists, photographers, entertainment, AV, etc.).
  • Create and manage meticulous event timelines, checklists, and floor plans to ensure seamless execution.
  • Oversee all logistical aspects, including permits, insurance, transportation, and guest management.
  • Manage event budgets efficiently, tracking all expenses and providing regular reports to clients.
  • Provide exceptional on-site event coordination and management on the day of the event, ensuring all elements are executed flawlessly.
  • Conduct post-event evaluations, gather feedback, and prepare final reports for clients.
  • Proactively identify and address potential issues or challenges, offering creative and effective solutions.
  • Maintain up-to-date knowledge of industry trends, venues, and suppliers in Kingston, Jamaica.

Required Skills

  • Minimum of 3 years of proven professional experience in event planning, specifically with both wedding and corporate events.
  • Exceptional organizational skills with meticulous attention to detail and ability to manage multiple projects simultaneously.
  • Strong communication, negotiation, and interpersonal skills, capable of building rapport with clients and vendors.
  • Demonstrated creativity and ability to develop unique, impactful event concepts.
  • Proficiency in event management software and project management tools.
  • Expertise in budget management, cost analysis, and contract negotiation.
  • Ability to work independently as a freelance professional, demonstrating initiative and strong problem-solving skills.
  • Flexible schedule, including availability for evenings, weekends, and holidays as required by events.
  • Valid driver's license and access to reliable transportation for client meetings, venue visits, and event days in Kingston and surrounding areas.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Public Relations, or a related field.
  • Professional certification in Event Planning (e.g., Certified Meeting Professional – CMP, Certified Special Events Professional – CSEP).
  • A compelling portfolio showcasing a diverse range of successful wedding and corporate events.
  • Established network of reliable vendors and suppliers in Kingston, Jamaica.
  • Experience with marketing and client acquisition strategies for freelance services.
  • Bilingual proficiency (e.g., English and Spanish) to cater to a broader client base.
