Job Description

This role is for a highly creative, organized, and experienced Event Planner who thrives on transforming visions into unforgettable realities. As a freelance Event Planner specializing in both wedding and corporate events for Career.zycto, you will be instrumental in conceptualizing, planning, and executing a diverse portfolio of events, ranging from intimate wedding ceremonies to large-scale corporate conferences and galas. This position requires a keen eye for detail, exceptional project management skills, and the ability to manage multiple events simultaneously while adhering to strict timelines and budgets. You will work closely with clients to understand their unique requirements, develop innovative concepts, source vendors, negotiate contracts, and oversee all logistical aspects to ensure flawless execution. The ideal candidate will possess a strong network of local vendors, a deep understanding of the New Kingston event landscape, and a proven track record of delivering successful, high-quality events. Key Responsibilities

  • Consult with clients to determine event objectives, themes, and budgets for both wedding and corporate events.
  • Develop comprehensive event proposals, including detailed timelines, cost estimates, and vendor recommendations.
  • Source, evaluate, and negotiate contracts with a variety of vendors (caterers, venues, decorators, photographers, entertainment, etc.).
  • Manage event budgets, track expenses, and ensure financial targets are met while optimizing cost-effectiveness.
  • Coordinate all logistical aspects, including venue setup, technical requirements, transportation, and guest management.
  • Oversee on-site event execution, ensuring smooth operations, adherence to schedules, and swift resolution of any issues.
  • Maintain strong client relationships through regular communication, proactive problem-solving, and exceptional service.
  • Conduct post-event evaluations, gather feedback, and provide insightful recommendations for future improvements.
  • Stay updated on industry trends, best practices, innovative event technologies, and local regulations relevant to event planning.

Required Skills

  • Proven experience in event planning, specifically with both wedding and corporate events.
  • Exceptional project management, organizational, and time management skills.
  • Strong vendor negotiation and relationship management abilities.
  • Excellent communication, presentation, and interpersonal skills.
  • Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently, prioritize tasks effectively, and manage multiple projects concurrently.
  • Creative problem-solving skills and adaptability in fast-paced, high-pressure environments.
  • In-depth knowledge of local venues, suppliers, and service providers in Kingston, Jamaica.
  • Demonstrated ability to manage budgets and deliver events within financial parameters.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certification in Event Management (e.g., CMP – Certified Meeting Professional).
  • Portfolio showcasing successful wedding and corporate events with client testimonials.
  • Proficiency in graphic design tools for creating event layouts or promotional materials.
  • Experience with virtual or hybrid event planning platforms and technologies.
