Key Responsibilities

  • Manage complex calendars, schedule appointments, meetings, and conferences for executives.
  • Coordinate extensive domestic and international travel arrangements (flights, accommodation, transportation).
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional quality.
  • Act as a primary point of contact, screening calls, emails, and visitors, and managing information flow effectively.
  • Organize and maintain executive files and records, both physical and electronic, with utmost confidentiality and discretion.
  • Prepare meeting agendas, take detailed minutes, and follow up on action items to ensure timely completion.
  • Assist with the preparation and accurate submission of expense reports and budget tracking.
  • Conduct research, compile data, and synthesize information to prepare documents for executive review and presentation.
  • Liaise professionally with internal departments, external clients, suppliers, and key partners.
  • Handle special projects and assignments, demonstrating initiative and proactive problem-solving as requested by senior management.

Required Skills

  • Proven experience (minimum 4 years) as an Executive Administrative Assistant or in a similar senior administrative role.
  • Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Excellent written and verbal communication skills, with a keen eye for detail and strong proofreading abilities.
  • High level of discretion and ability to handle confidential information with integrity and professionalism.
  • Proactive problem-solving abilities and strong decision-making skills, even under pressure.
  • Ability to work independently with minimal supervision and also effectively as part of a team.
  • Strong interpersonal skills and a professional demeanor, capable of interacting with diverse stakeholders.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Experience within the recruitment, human resources, or professional services industry.
