Job Description
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive support to our senior management team in Angoche, Nampula Province. This critical role demands exceptional organizational skills, the ability to manage multiple priorities in a dynamic environment, and a commitment to maintaining confidentiality. The Executive Assistant will be instrumental in ensuring the smooth daily functioning of the executive office, acting as a pivotal point of contact and support. You will manage complex calendars, coordinate travel logistics, prepare detailed reports and presentations, and facilitate effective communication both internally and externally. Key Responsibilities
- Manage complex calendars and schedule appointments, meetings, and conferences for senior executives.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, and ground transportation.
- Prepare and compile reports, presentations, and other documents, often involving sensitive and confidential information.
- Act as a primary point of contact, screening and directing phone calls, emails, and visitors with professionalism and discretion.
- Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents.
- Facilitate meeting logistics, including agenda preparation, minute-taking, and follow-up on action items.
- Assist in the planning and execution of special projects and company events.
- Process expense reports and manage petty cash or departmental budgets as required.
- Anticipate executive needs and proactively address administrative challenges.
- Handle confidential information with the utmost integrity and professionalism.
Required Skills
- Proven experience as an Executive Assistant or similar administrative role supporting senior management (minimum 4 years).
- Excellent verbal and written communication skills in Portuguese and English.
- Exceptional organizational and time management abilities, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
- Strong ability to multitask, prioritize tasks, and work effectively under pressure.
- High level of discretion and ability to handle confidential information.
- Proactive attitude, strong problem-solving skills, and ability to take initiative.
- Adaptability and flexibility to work with varied schedules and demands.
