Job Description

FBC Bank is seeking a highly organised, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and secretarial support to the Branch Manager at our Gokwe location. This critical role ensures the efficient operation of the Branch Manager’s office, facilitates effective communication, and contributes significantly to the smooth running of branch activities. The ideal candidate will be a trusted partner, capable of managing complex schedules, handling confidential information with utmost discretion, and anticipating needs before they arise. Key Responsibilities

  • Manage and maintain the Branch Manager's calendar, including scheduling appointments, meetings, and intricate travel arrangements.
  • Prepare, proofread, and edit correspondence, communications, presentations, and other documents for both internal and external stakeholders, ensuring accuracy and professionalism.
  • Organise and coordinate internal and external meetings, including preparing comprehensive agendas, accurately recording minutes, and ensuring diligent follow-up on all action items.
  • Handle sensitive and confidential information with the utmost discretion and professionalism, maintaining strict privacy protocols.
  • Act as a primary point of contact for internal and external inquiries, adeptly screening calls and directing them to the appropriate individuals or departments.
  • Conduct thorough research, compile relevant data, and prepare detailed reports and summaries as requested by the Branch Manager.
  • Assist in the preparation of budgets, financial reports, and expense claims, ensuring compliance with company policies.
  • Maintain an organised and efficient filing system for important documents, both physical and electronic, ensuring easy retrieval.
  • Coordinate special projects and events as assigned by the Branch Manager, ensuring timely and successful execution from conception to completion.
  • Facilitate effective and clear communication channels within the branch and with other departments, fostering a collaborative environment.

Required Skills

  • Proven experience (minimum 3 years) as an Executive Assistant or Senior Administrative Assistant, ideally within a corporate setting.
  • Excellent written and verbal communication skills in English, with strong command of grammar and composition.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including experience with complex document creation and data management.
  • Strong organisational and planning skills with exceptional attention to detail and ability to manage multiple priorities.
  • Ability to prioritise tasks effectively, manage multiple projects simultaneously, and meet demanding deadlines in a dynamic and fast-paced environment.
  • Demonstrated high level of integrity, trustworthiness, and discretion in handling confidential and sensitive information.
  • Proactive approach to problem-solving, with the ability to anticipate needs and act independently.

Preferred Qualifications

  • A Diploma or Degree in Business Administration, Secretarial Studies, Office Management, or a related field.
  • Previous experience working within the financial services sector, particularly banking, is highly advantageous.
  • Knowledge of local business practices and the community dynamics in Gokwe, Midlands Province.
  • Familiarity with various office management software and communication tools beyond standard Microsoft Office applications.
  • Ability to speak Shona or Ndebele is considered an added advantage for local community engagement.
