Job Description
We are seeking a highly organized, proactive, and discreet Executive Secretary to provide comprehensive administrative and executive support to senior leadership at our Old Harbour branch. This pivotal role is ideal for a seasoned administrative professional who thrives in a fast-paced environment and possesses exceptional organizational, communication, and interpersonal skills. As an Executive Secretary, you will be instrumental in ensuring the seamless daily operations of the executive office, managing complex schedules, and acting as a crucial liaison between executives and various internal and external stakeholders. Your ability to anticipate needs, manage multiple priorities, and handle sensitive information with utmost confidentiality will be paramount to your success.
Key aspects of this role include meticulous calendar management, preparing and editing critical correspondence, reports, and presentations, and coordinating high-level meetings. You will be responsible for creating detailed agendas, taking accurate minutes, and ensuring follow-up actions are tracked and completed efficiently. Beyond routine administrative tasks, you will be a strategic partner, assisting with special projects, conducting research, and compiling data to support executive decision-making. Key Responsibilities
- Manage and maintain executive calendars, scheduling appointments, meetings, and conferences efficiently.
- Prepare, proofread, and edit confidential correspondence, reports, presentations, and other documents.
- Organize and coordinate executive meetings, including preparing agendas, recording minutes, and tracking action items.
- Handle incoming and outgoing communications, including phone calls, emails, and postal mail, exercising discretion and good judgment.
- Arrange complex travel itineraries, including flights, accommodation, and ground transportation.
- Maintain an organized and efficient filing system, both physical and digital, ensuring quick retrieval of information.
- Act as a professional liaison between executives and internal departments, clients, and external partners.
- Assist with special projects, research, and data compilation as requested by senior management.
- Process expense reports and manage office supplies inventory for the executive office.
- Ensure strict confidentiality of all sensitive information and documents.
Required Skills
- Minimum of 3 years of executive secretarial or senior administrative experience.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Superior written and verbal communication skills in English.
- Proven ability to handle confidential information with integrity and discretion.
- Strong interpersonal skills and a professional, poised demeanor.
- Acute attention to detail and accuracy.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications
