Job Description
We are seeking a highly organized, proactive, and discreet Executive Support Secretary to join our dynamic team in Bog Walk, St. Catherine. This pivotal administrative role is essential for ensuring the smooth and efficient operation of our executive office. Key Responsibilities
- Provide comprehensive administrative support to assigned executives, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare, edit, and format various documents, presentations, reports, and correspondence, ensuring accuracy, consistency, and adherence to company standards.
- Organize and maintain physical and electronic filing systems, ensuring efficient retrieval of documents and adherence to data protection policies.
- Act as a primary point of contact for internal and external stakeholders, screening calls, responding to inquiries, and redirecting as appropriate with a professional and helpful approach.
- Coordinate and prepare materials for meetings, including agendas, minutes, and follow-up actions, and ensure timely distribution to all participants.
- Manage office supplies inventory, place orders, and ensure the executive office is well-equipped and maintained.
- Handle sensitive information and confidential documents with discretion and integrity, upholding the highest standards of confidentiality.
- Assist with special projects and initiatives as assigned, demonstrating flexibility and a proactive attitude.
- Process expense reports, invoices, and other financial documentation in compliance with company policies.
- Facilitate internal communication and information flow between the executive office and various departments.
- Provide general office support, including greeting visitors, managing incoming/outgoing mail, and maintaining a tidy and organized workspace.
Required Skills
- Proven experience as an Executive Secretary, Administrative Assistant, or similar role for at least 3 years.
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills, with a keen eye for grammar and punctuation.
- High level of discretion and ability to handle confidential information with integrity.
- Proactive problem-solving abilities and a strong attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
- Demonstrated ability to interact professionally with all levels of staff and external contacts.
