Job Description

We are seeking a highly creative, meticulous, and experienced Event Planner to join our distinguished team at Labourdonnais Waterfront Hotel. This pivotal role involves orchestrating unforgettable weddings and seamless corporate functions, upholding the hotel’s renowned standards of luxury and service. You will be responsible for the end-to-end planning and execution of a diverse portfolio of events, from intimate bridal celebrations and grand wedding receptions to high-profile conferences, product launches, and gala dinners.

Your expertise will encompass every facet of event production, including initial client consultations, proposal development, budget management, vendor negotiation, logistical coordination, and on-site supervision. You will work closely with various internal departments, including culinary, banqueting, sales, and operations, to ensure a cohesive and flawless delivery. Key Responsibilities

  • Serve as the primary point of contact for clients, understanding their vision, requirements, and budget for weddings and corporate events.
  • Develop detailed event proposals, timelines, budgets, and operational plans for various functions.
  • Manage all logistical aspects, including venue setup, catering, audio-visual equipment, entertainment, floral arrangements, and transportation.
  • Negotiate and coordinate with external vendors, ensuring quality service delivery within agreed budgets and timelines.
  • Conduct site inspections and client meetings, providing expert guidance and creative solutions.
  • Oversee the flawless execution of events on the day, managing schedules, staff, and unforeseen challenges.
  • Collaborate closely with internal departments (Sales, F&B, Banqueting, Housekeeping, Engineering) to ensure seamless event delivery.
  • Process invoices, manage payments, and maintain accurate records for all events.
  • Post-event follow-up, including client feedback collection and analysis to drive continuous improvement.
  • Stay abreast of industry trends, new technologies, and competitor activities to maintain the hotel's competitive edge in event offerings.

Required Skills

  • Minimum 3 years of proven experience as an Event Planner, with a strong portfolio in both wedding and corporate event management.
  • Exceptional organizational and time management skills, with the ability to manage multiple projects simultaneously.
  • Excellent communication, negotiation, and interpersonal skills.
  • Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong problem-solving abilities and a proactive approach to challenges.
  • High degree of creativity and attention to detail.
  • Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
  • Fluent in English and French, both written and spoken.

Preferred Qualifications

  • Bachelor’s degree in Hospitality Management, Event Management, Marketing, or a related field.
  • Certification in Event Planning (e.g., CMP, CSEP).
  • Experience working in a luxury hotel or high-end event venue.
  • Knowledge of local Mauritian vendors and cultural nuances for events.
